From Tech-Savvy to First-Timers: Hermitage Nails Onboarding

THE CHALLENGE:  Hermitage needed an onboarding system simple enough for every employee, no matter their tech skills.
Onboarding new employees efficiently while ensuring clarity and compliance was becoming increasingly complex for Hermitage. As the company welcomed new starters, it became clear that not all staff were equally familiar with digital onboarding systems.
 

Some adapted quickly, while others – particularly those less experienced with technology, needed extra support with uploading documents and navigating the platform. This caused delays, created unnecessary admin work, and put added pressure on not only the new employees, but HR as well.

This highlighted the need for a system that could support users across different age groups and levels of technical confidence, while
still maintaining a smooth, reliable process for document collection and storage.


THE IMPLEMENTATION

Onboard Express, working in partnership with ADP Payline, delivered a guided onboarding journey with seamless payroll integration.

In 2023, Hermitage Building Group implemented Onboard Express to modernise its onboarding workflow, in collaboration with payroll partner ADP Payline. This alignment meant the onboarding system didn’t just simplify employee setup—it connected directly into Hermitage’s payroll, creating one consistent, integrated process from hire to pay.

The platform made onboarding simple for every user, regardless of technical ability, guiding new hires step-by-step through uploading information and documents. For HR, contracts and compliance documentation were captured consistently and transferred securely into ADP, removing duplication and reducing manual data entry.

 

Even when a few employees required extra guidance at the start, the intuitive design of the platform ensured all onboarding was completed successfully. Document storage also became seamless, with PDFs automatically saved into designated folders—removing the risk of lost files or overlooked steps.

Onboarding became faster, easier, and accessible to every employee – while reducing HR’s manual workload
